'planen' and 'gestalten' can both have to do with preparation and organization. 'planen' emphasizes the step before the action: you think about what should happen, when it happens, and how to do it. It can also mean a technical design. 'gestalten', on the other hand, emphasizes the form, appearance, or way something proceeds. You bring something into a particular form or make sure that an event has a certain effect. The words can be confused because when you 'gestalten' something, you often also plan it. Put simply: 'planen' is more about thinking ahead and organizing, while 'gestalten' is more about shaping and carrying something out.
